Who are we?

Roman River Music (hereinafter RRM) is a registered charity established to:

  1. advance, improve, develop and maintain public education in, and appreciation of, the art and science of music in all its aspects by any means the trustees see fit, including through the presentation of public concerts and recitals;
  2. further such charitable purpose or purposes as the trustees in their absolute discretion shall think fit but in particular through the making of grants and donations.

Your personal data, what is it?

Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the General Data Protection Regulation (the “GDPR”).

How do we process your personal data?

RRM complies with its obligations under the “GDPR” by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive or unnecessary data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

What will you use my information for?

 When you opt in to RRM’s database or purchase a ticket or other transaction, we collect basic information about you. This data is likely to include your name, address, title, telephone number(s) and email address(es). We do not collect or store details of credit or debit cards or of bank accounts.

By providing us with this information you are giving us permission to use that information to fulfil your booking, order, request or enquiry. For example, if there is any important change to your booking we will contact you.

When we put your information on our database, we ask whether you would like to opt in to receive information about RRM’s activities.

If you opt in to receive information about RRM’s activities, we may contact you to tell you about future events and activities we think you’ll find of interest. We may also occasionally make recommendations about other cultural activities by partner organisations or other promoters, but those parties will not be in possession of your data.

We may use your information to complete transactions that you have entered into, for example by providing a bank with the information necessary to bank a payment you have made to us. Other than that, RRM does not and will not share your personal information with any other commercial or charitable organisation.

We will not use your information in other ways unless you give us permission to do so.

How is your information held?

Personal information is held on a central electronic database. Access to the database is strongly password protected; and access is strictly limited to a few personnel with appropriate skills and training. Individual records include data on communication consent and preferences. Mailing lists generated from this database contain information only about individuals who have consented for the relevant mailings.

Paper records containing personal information are securely stored in RRM’s registered office. Access is strictly limited to a few personnel with appropriate skills and training. We have procedures for ensuring that personal information, held either electronically or on paper, is held no longer than is necessary for contractual purposes in connection with transactions (e.g. ticket purchases). It is then securely deleted or destroyed. Personal information related to consent for other communication from us is securely deleted/ destroyed when consent is withdrawn. Procedures for maintaining records of personal information are reviewed annually.
